Sewing Machine Preventive Maintenance Checklist

A maintenance schedule and log for sewing machines: machine, task, frequency, due date, done date and who did it, with an automatic Done, Planned or Overdue status against the report date.

What this template does#

The preventive maintenance (PM) checklist lists maintenance tasks for each sewing machine with their frequency and due dates. As tasks are completed, the mechanic records the date and name. The status column shows Done, Planned or Overdue against the report date, so overdue work stands out.

The example tasks (lint cleaning, oil checks, knife and looper checks) show the format. Your machine manuals and mechanics decide the actual tasks and intervals.

Why preventive maintenance matters#

Many sewing defects and stoppages start with the machine: lint in the feed dogs, low oil, worn knives, loose timing. Planned maintenance reduces thread breakage, skipped stitches and breakdowns, and it improves availability. See OEE.

How to complete it#

  1. List machines by number and type.
  2. Add tasks for each machine type from the manufacturer's manual and your mechanics' experience.
  3. Set frequencies and due dates.
  4. Record completion with the date and name.
  5. Review overdue tasks weekly and plan them around production.

Suggested task groups#

These are examples to adapt, not a standard.

Common mistakes#

  • Doing PM only when machines break down.
  • Recording tasks as done without checking.
  • Not updating the task list when new machine types arrive.
